PRIVACY NOTICE FOR CANDIDATE INTERVIEW SCHEDULING MANAGEMENT
This privacy notice is designed to provide you with clear information about the way Sanofi and its service provider, PARADOX, will process your personal data for the purpose of scheduling interviews related to our hiring process. The process will be named “Interview Scheduling Management” below.
Depending on the country where you may be based, Interview Scheduling Management can include:
- Personal and professional data
- Calendar data
- Any information you might disclose during the interview scheduling process.
Interview Scheduling Management is subject to voluntary participation from individuals worldwide (excluding China) that are not existing Employees.
For employees, the participation will be enabled by default as a part of the digital tools set required for internal resources management.
This privacy notice is an extension of our External Candidates Privacy Policy.
WHY WE PROCESS PERSONAL DATA
We will use your data to provide the Services listed below to you, to schedule interview(s), and to consider you for a position of employment with Sanofi. Sanofi will also perform anonymized reporting and benchmark through the recruitment process. Depending on your country, this reporting can be a legal obligation regarding local job discrimination laws.
The legal basis of the processing is Sanofi’s legitimate interests and based on your prior consent or contract signature.
WHOSE PERSONAL DATA IS PROCESSED
Any subscriber to the Talent Community (later called “Prospect” in this document), Hiring Managers, Candidates and Employees.
WHAT PERSONAL DATA WE NEED TO PROCESS FOR THIS PROCESS
Data Shared with Sanofi and Paradox upon connecting your Microsoft Outlook Calendar includes:
- Calendar Availability: We share your calendar availability, which includes times when you are available or busy.
- Calendar Events: Depending on the features you select, information about open meetings on your calendar may also be shared with Paradox. This includes the dates and times but excludes sensitive details.
In addition, since this is conducted online, Paradox uses cookies. This helps provide respondents with a good experience when they use the Platform. For detailed information on the cookies, we use and the purposes for which we use them see the Cookie Notice.
WHO HAS ACCESS TO YOUR PERSONAL DATA
The personal data is collected and processed under the control of Sanofi. Internally at Sanofi, there are specifically identified group of recipients:
- Sanofi’s Platform “Administrators” will access information to provide technical support
- Sanofi’s Talent Acquisition team members who will use the platform to book interviews for job openings, create and share events and send communications.
- Sanofi’s Hiring Management team members who will use the platform to book interviews and send communications.
Data Sharing with Third-Party for Artificial Intelligence scheduling purposes: Paradox uses and transfers information received from Microsoft Outlook controls.For more information, please refer to Paradox's Privacy Policy at (Paradox Privacy Policy). By using Paradox and integrating your Microsoft account, you consent to the sharing of your calendar data with Paradox.
In addition, Sanofi relies on the service provider to collect and process data as processor, acting on behalf of and in accordance with the instructions they receive from Sanofi.
HOW WILL YOUR DATA BE USED
Once you submit your data, access to that data will be given to Sanofi’s Talent acquisition teams who may reach out to you through the platform.
Once your profile is selected for further hiring steps:
- Schedule easily Interviews with recruiters and receive follow-up reminders
- Ensure a better follow up of your applications to jobs
Use of Artificial Intelligence (AI)
We use AI technology to enhance our recruitment processes and improve your experience in the following ways:- Meeting Scheduling: AI helps us to enhance our meeting scheduling services.
- Communication: AI tools assist in drafting and sending personalized communications based on your interactions and preferences.
- Data Insights: AI is used to gain insights from recruitment data, helping us improve our processes and make data-driven decisions.
HOW LONG WE RETAIN YOUR PERSONAL DATA
We will retain your personal data for as long as necessary to fulfil the purposes outlined in this Privacy Notice or as required by law. If you wish to delete your profile or withdraw from our Talent Community, please contact us at https://www.sanofi.com/en/data-protection-contact
- Prospect subscribing to Talent Community: This processing is based on your prior consent. You can withdraw your consent at any time by sending us a request, in which case SANOFI will stop processing your data (without affecting past processing). You are free to refuse to communicate your data to us. However, if you refuse to communicate your data, please note that you will not be considered for future openings unless you apply directly for a job. Your personal data will be retained for 1 year. Please note that we will reach out to you 1-month prior consent expiration, to collect your agreement to remain in the database
- Candidate engagement management: This processing is done based on a legitimate interest of SANOFI. In this respect, you have the right to object to this data processing if you justify a legitimate motive resulting from your situation. If you refuse to communicate your data, since data is required to some extent for Sanofi to consider your application and to manage the recruitment process, Sanofi will not be able to process your application. Your personal data will be retained for 12 months (about 1 years) globally but can differ based on local data retention.
- Employee engagement management: This processing is done based on a legitimate interest of SANOFI. In this respect, your data will be retained until your contract expires, but can differ based on local data retention rules.
- Reporting and benchmarking the recruitment process: This process is carried out based on a legitimate interest of SANOFI. In this respect, you have the right to object to this data processing if you justify a legitimate motive resulting from your situation. Your personal data will be retained for a period that will depend on your current status in the hiring process and your local law, either as prospect or candidate.
TRANSFERS OUTSIDE OF YOUR JURISDICTION
SANOFI is a multinational Group. As such, Sanofi may need to transfer your personal data to entities of its Group or to third-party partners outside of the Sanofi Group. Such Sanofi or non-Sanofi entities may be located outside your jurisdiction, outside of the Economic European Area, in countries where personal data legislation does not necessarily offer the same level of protection or in countries not recognized as offering an adequate level protection.
To ensure an adequate level of protection of your data, those transfers are safeguarded in accordance with the requirements of the country of origin of such transfers, and in the present case:
- Standard Contractual Clauses of the EU Commission
- BCRs
WHAT ARE YOUR RIGHTS REGARDING YOUR PERSONAL DATA?
Subject to the legislation applicable in the country you are in, you may be entitled to:
- Have access upon simple request to your Personal Data. In that case you may receive a copy of such data unless it is directly available to you, for instance within your personal account
- Obtain a rectification of your Personal Data should your Personal Data be inaccurate, incomplete, or obsolete
- Obtain the deletion of your Personal Data in the situations set forth by applicable data protection law (“right to be forgotten”)
- Object the processing of your Personal data, where your Personal Data has been collected and processed based on legitimate interests of SANOFI
- Request a limitation of the data processing in the situations set forth by applicable law
- Request that some of the Personal Data you provided to us is brought to you, or to another data controller, in a commonly used, machine-readable format
Also, and while we suggest that you contact us beforehand, you are entitled to lodge a complaint with your local Data Protection Authority regarding the processing of your Personal Data.

This Privacy Notice does not apply to information Sanofi collects by other means than your use of the Service (including offline) or from other sources.
Please refer to this policy periodically to inform yourself if changes have been made.
No one under age 18 is allowed to use or provide any personal information to or on Paradox. In the event that we learn that we have collected personal information from a minor under age 18 without verification of parental consent, we will delete that information as quickly as possible. If you believe that we might have any information from or about a child under 18, please contact us as described below.
